1. Who we are
Chelkron Technologies Limited (“Chelkron”, “we”) is a company registered in Nigeria. We follow the Nigeria Data Protection Act 2023 and the other data protection laws that apply to us.
- For your account, billing and use of this website, we decide how your information is used (we are the data controller).
- For information our customers put into the services, such as a company’s staff records in Workforce or the emails in a Chelkron Mail mailbox, our customer decides and we process it on their behalf (we are the data processor). If you are a staff member of one of our customers, please contact your employer first; we will help them answer you.
2. What we collect
Information you give us
- Account: your name, email address, phone number, company name, country and industry, and your password (stored only in scrambled, hashed form).
- Billing: your plan, payment amounts and payment references. Card details are entered on Paystack’s page; we never see or store your card number.
- What you put into the services: in Workforce, for example staff profiles and photos, departments, attendance (including location at clock-in when the workspace turns on location checks), tasks, reports, customer and sales records, payroll details such as salaries and deductions, appraisals, chat messages and uploaded files; in Chelkron Mail, your domains, mailbox settings, contacts and the emails stored in your mailboxes.
- Domain registrations: the contact details registries require when you buy a domain through Chelkron Mail.
- Messages to us: what you send through our contact form or by email.
Information collected automatically
- Your IP address and the country it suggests, which we use to show prices in your currency and pages in your language.
- Browser and device type, sign-in times and security logs (for example failed sign-ins), which help us keep accounts safe.
3. How we use it
- To provide the services you signed up for, including notifications you choose to receive by email or on your phone (because we have a contract with you).
- To take payments and keep records (contract, and our legal obligations for tax and accounting).
- To keep the services secure, prevent fraud and abuse, and fix problems (our legitimate interest in running a safe service).
- To answer your questions and give support.
- To improve the services, using combined information about how features are used, not the content of your records or emails.
- To tell you about changes to the services, these terms or prices. We send marketing messages only if you agree, and you can stop them at any time.
Where we rely on your consent, for example for phone notifications or location at clock-in, you can withdraw it at any time in your settings or by contacting us.
4. AI features
When you use an AI feature, such as a sales summary, an insight or a drafted email, the information needed for that request is sent to our AI provider, Anthropic, to produce the result, which is then shown to you. Under its commercial terms, Anthropic does not use this information to train its models. We don’t use your content to train AI either. If you don’t use AI features, nothing is sent.
6. International transfers
Some of the companies above process information outside Nigeria. When that happens we rely on the safeguards the Nigeria Data Protection Act allows, such as transfers to countries with adequate protection or contractual commitments from the provider.
7. How we protect it
Information travels over encrypted connections (HTTPS/TLS), passwords are hashed, and access to customer data is limited to people who need it. No system is perfectly secure; if a breach affects your personal information, we will tell you and the authorities as the law requires.
8. How long we keep it
We keep your information while your account is open. When an account is closed, we delete its data within 30 days, apart from what the law requires us to keep, such as payment and tax records, which we keep for as long as required.
9. Your rights
You can ask us to:
- tell you what personal information we hold about you and give you a copy;
- correct information that is wrong or incomplete;
- delete your information, or limit how we use it;
- stop using it for a purpose you object to, or withdraw consent you gave;
- give you your information in a format you can take to another service.
Email support@chelkron.com. We reply within 14 business days and may need to confirm who you are first. If you are unhappy with how we handle your information, you can complain to the Nigeria Data Protection Commission (ndpc.gov.ng).
11. Children
The services are for businesses and adults. They aren’t meant for anyone under 18, and we don’t knowingly collect information about children for our own purposes.
12. Changes to this policy
We may update this policy. If a change matters, we’ll tell you by email or in the services before it takes effect. The date at the top shows when it was last updated.
